Aesthetic clinics
Your agenda full.
Your DMs answered.
One website with two buttons. Book now opens a calendar that only shows the times you really have free. Ask us opens an assistant that answers every question about your treatments — at 23:00, on Sunday, in Portuguese, Ukrainian or English. Your team stays with the client in the chair.
- More consultations. The client who asks about Morpheus8 at midnight books with you instead of the clinic that answered first.
- An hour a day back. The same twenty questions and the back-and-forth about times — handled without your team.
- Fewer empty treatment slots. A confirmation straight away and a reminder the day before, so 90-minute slots do not stand empty.
- Clients who trust you. An answer in seconds, in their own language, that never quotes a price or gives medical advice it should not.
Pricing is made for each clinic — we agree it with you after a free 30-minute call.
What actually goes wrong
Not the treatment — that part is excellent. It is everything around it that lands on people who are with a client.
Questions arrive at night
Clients research aesthetic treatments in the evening, on Instagram. By the time someone answers in the morning, they have messaged three other clinics.“O Morpheus8 dói? Quantas sessões preciso?”
Five messages to find a time
“Tuesday?” “Full.” “Thursday after four?” — while the practitioner is in the middle of a 90-minute treatment and cannot look at the phone.“Têm vaga no sábado de manhã?”
Empty long slots
A forgotten Morpheus8 or body appointment is an hour and a half that cannot be resold at short notice — and no one sent a reminder.“Desculpe, esqueci-me completamente…”
The same twenty questions
What is Lumecca, how long is recovery, can I do it in summer, do you speak Ukrainian, where do I park. Every day, answered by hand.“Що краще від пігментації?”
We do not replace how the clinic works. The team keeps its calendar, its rules and its own client relationships. We add the part that was missing: something that answers, on every channel, in every language, at every hour — and a calendar that books only what is really free.
What your clinic wins
Not features — six things that change at the desk and in the agenda, from the day the link is in the Instagram bio.
No question goes unanswered
Evenings, Sundays, during a treatment. The client who would have moved on to the next clinic gets an answer and a booking button.
Gain: the consultations you never knew you were losing
Your team stays with the client
No more stepping out of a treatment to answer DMs about recovery time, parking or opening hours.
Gain: treatments that are not interrupted
Fewer no-shows
Every booking gets a confirmation e-mail with a calendar link, and a reminder the morning before.
Gain: long slots that are actually used
Every booking written down
Treatment, date, name, phone and e-mail land in a Google Sheet the moment they are booked — no typing over from WhatsApp.
Gain: a client list you own
Three languages, no extra staff
Portuguese, Ukrainian and English — and any other language the client writes in. The assistant follows, in the clinic's tone.
Gain: expats book as easily as locals
Safe by design
It never names a price and never gives medical advice: anything clinical is the doctor's, at the consultation.
Gain: an assistant you can trust with your name
The arithmetic is simple: one 90-minute slot saved is worth far more than a month of model time. It does not need to work often to be worth it.
The client never leaves the clinic's world
The Instagram bio, a WhatsApp message, a QR code at the reception desk — they all open the clinic's own website, in its own colours and tone. No app, no account, no login.
Where the link lives
- Instagram bio and stories
- WhatsApp Business replies
- A QR code at reception and on aftercare cards
- Google Business profile
What the client gets
- Answers in seconds, day or night
- Their own language
- A calendar with only real free times
- A code, a confirmation and a reminder
What the clinic keeps
- Its own branding and voice
- Its own calendar and rules
- Its WhatsApp, for whoever prefers it
- Full sight of every booking
How it works with a QR code
The QR below is live. Scan it with your phone and you are on the same website a client of L'Icône would reach from the reception desk or an aftercare card.
Or ask us about Morpheus8, Lumecca and more
Reception desk, aftercare cards, the mirror in the treatment room, a business card. One code — printed once, never reprinted when the treatments change.
The camera opens a page with the clinic's name, logo and colours. Our platform is not mentioned anywhere.
Treatment, day, time, name and phone — and the client walks away with a code like LI-4107, a confirmation e-mail and a calendar link.
The booking appears in the Google Sheet the same second, the client gets a confirmation e-mail, and a reminder goes out the morning before.
What it actually does
It does not improvise. Free times, treatment durations and buffers are decided by the clinic's rules, not by the language model — and a guard blocks any answer naming a price, a code or a booking the system did not confirm.
Book now
- Pick the treatment — its duration decides which times fit
- A month view with only real free days
- Code, confirmation e-mail, calendar link
- Reminder the morning before
Ask us
- Treatments and technology explained
- What to expect, recovery in general terms
- Location, hours, languages, the current offer
- Find or cancel a booking by its code
Hand-over
- No prices — those are given at the consultation
- No medical advice — always the doctor
- Pregnancy, medication, reactions: the clinic phone
- Ready to book? A button to the calendar
Nobody changes how they work
The website and the assistant are the front. The clinic's own calendar and sheet stay the source of truth; n8n is the wiring in between. Swap the last box for another booking system and the rest is unchanged.
In the live demo every booking becomes a row in a Google Sheet with treatment, date, name and phone, sends a branded confirmation e-mail with a calendar link, and is picked up by the reminder that runs every morning at 10:00.
See it working
The assistant below is live — the same one a client reaches through “Ask us” on the clinic website. The meter under it counts the tokens of this conversation.
Try this
“What is Morpheus8 and does it hurt?” It explains the treatment and says the doctor decides at the consultation.
Then try to break it
Ask “quanto custa?”, or for medical advice, or for booking LI-9999. It refuses instead of inventing — the rules, not the model, decide.
Then book
“Quero marcar Morpheus8.” A button opens the calendar on Morpheus8 — pick a free day and time, and the booking lands in the sheet.
What is already built
Not a slide — a working clinic website you can book a treatment on right now.
What it costs to run
The assistant is paid per token, not per booking — a whole conversation costs less than a cent. Put in your own numbers.

Model and prices
No demo conversation measured yet — ask the assistant something and its real traffic lands here.
Where these numbers come from
They are counted by the workflow itself, not by this page. After every answer, the Output guard node in the n8n workflow L'Icône AI Assistant measures the conversation and returns the count together with the reply, which is what fills the fields above.
Four characters per token is the usual rule of thumb. The 544 is the assistant's own instructions measured character by character; the 505 covers the five tool definitions the model receives on every call; the factor two is because an answer normally costs two model calls — one to consult a tool, one to answer. A running total per conversation is kept inside the workflow.
What it is not: the model provider's own meter. n8n does not hand the model's token count to that node, so this is an open estimate rather than an invoice. The booking calendar uses no model at all.
Estimate, not an invoice. Model cost only — hosting, setup and service are agreed with each clinic after a short call.
What a clinic hands over
The engine is not rebuilt per clinic. Everything below is configuration — which is why the second clinic is far quicker than the first.
The Instagram is enough to start: logo, colours, treatments. Then durations, opening hours, buffers, cancellation rules and the questions clients ask most.
The Google account for the sheet, calendar and e-mail — or their own booking software, which becomes one integration, not a rebuild.
The website or a widget for the existing one, the booking calendar, the assistant in their tone of voice, the guardrails, confirmations and reminders.
The link goes in the Instagram bio and on WhatsApp — and clients book at 23:00 without anyone answering.
| Stage | What is built | What is reused |
|---|---|---|
| First clinic | Their website or widget, their treatments and rules, Google Sheet + e-mail | — |
| Second clinic | Their branding, their treatments, their tools | The booking engine, the assistant, the guards, the reminders |
| Next booking system | One integration in n8n | Everything the client ever sees |
The minimum first version is deliberately small: the two buttons, the clinic's own treatments, a Google Sheet and e-mails. Everything else is built on top of that, not before it.
What comes next
The same engine, reaching further. Green means it is already running in the demo you can open today.

For the owner
Beyond one clinic
Nothing here changes the promise: the client keeps talking to the clinic they chose, and the clinic keeps the tools it already uses.
